Send Snapshot links to individuals by text or email
In most cases you will use Session Prep to send the Snapshot links by text to all primary caregivers at the same time.
This article describes what to do if:
- a family missed the Snapshot session and deleted the original text without completing the Snapshot
- a primary caregiver's texting number is not associated with a smart phone, but they do have an email address, and you're confident they'll follow through (otherwise just have them fill out the Snapshot on paper)
- you forgot to send from Session Prep, and the button is no longer available
To send to just one or a few families:
1. Open the Snapshots screen for your group.
- Select group in context menu.
- From the Main Menu, select Data > Snapshots.
2. Click icon for preferred method.
In the Actions column for each child who needs a Snapshot, click an icon to send the link.
- Message bubble icon sends via text.
- Mail icon sends via email.
Confirm to send. The Snapshot Sent date will update to reflect today's date for this child.
A gray button indicates that this contact method is not available for this child's primary caregiver. The information is not in the system, or the caregiver has opted out of texting. Check the child's caregiver screen, and update as needed. If the phone number is there but texting is not enabled, the caregiver would need to opt back in to texting.
To send Snapshot links to ALL primary caregivers by best available method (text or email):
Use this method if you forgot to send on by the session date, or if your group has a large number of families who do not have valid texting numbers but do have email addresses.
1. Open the Snapshots screen for your group.
- Select group in context menu.
- From the Main Menu, select Data > Snapshots.
2. Click Send Snapshots button.
The button sends to the entire group as follows:
- a text to each primary caregiver who has a valid texting number
- an email to each primary caregiver who lacks a valid texting number but has an email address
Confirm to send the messages as described. The Snapshot Sent date will update to reflect today's date for all children whose primary caregivers have valid texting numbers or emails.
A gray button indicates that this contact method is not available for this child's primary caregiver. The information is not in the system, or the caregiver has opted out of texting. Check the child's caregiver screen, and update as needed. If the phone number is there but texting is not enabled, the caregiver would need to opt back in to texting.
